Creating Private Rooms

Rooms allow you to create dedicated spaces within Teamflow for meetings, project documents, or even your own personal office.

In this article we show you how to:

  • How to create a room and set the privacy settings for a room
    • Give permissions to specific users for rooms
  • Connect a portal to a room

1. How to create a room

  • Click on the customization tool at the top left of your Teamflow environment. (If you're on the main floor of your workspace it will say Customize. If you're in a room it will say '...') Once your Customization tool is open in the sidebar, scroll down to find our 'rooms' option. Click one of the options. 

  • Once the option to make a new room pops up, you can input the name of your new room.
  • After you click, 'Create new space', there will be an option for a dropdown menu where you can press 3 options to set the room's privacy;
    • Anyone in your company can join this room
      • If you choose this option, anyone that is a user within your workspace will be able to access this room. 
    • Anyone with the link can access
      • If you choose this option, anyone that has the room link will be able to access the room. This is great for rooms where you often invite guests into your office
    • Only people invited can access this room
      • If you choose this option, you will be greeted with an invite menu upon creating the room. Please ensure to send permissions via email. 
        • Only users who are granted permission to access this room will be able to see the room on the floor and/or the sidebar

  • If you miss the opportunity to invite your team-members, not a problem. While you're in the room, you can click the 'Invite' button at the top right of the Teamflow environment which will allow you to grant permission to users by sending an invitation to their email. Simply just type in their email and click 'invite'

  • Any user that already has permission to enter that room will be able to enter with the link that is provided via the 'copy link' button at the bottom of the window. Otherwise, users will have to be granted permissions via an email invitation.

3. Connecting a portal to a room

Rooms now have the capabilities to enter in various ways. All rooms will show up on the left sidebar of your Teamflow environment, which are accessible by clicking on the name of the room. However, you have unlimited capabilities with how to visualize access the room on the floor of your office.

If your room appears on the sidebar but not on the floor or you'd like to create multiple portals to a room, follow these instructions;

  • Click on the customization tool at the top left of your Teamflow environment. Once your Customization tool is open in the sidebar, scroll down to find our rooms option. Click one of the options. 
  • Find the name of the room you'd like to access within the list shown in the pop-up. (Tip: You can search for the name of the room using the search bar at the top of the window).
  • Hit 'Connect' and another room with show up on the floor of your office.
